Track the core fields

Separate submitted from verified
Automated tools often report submissions, but a submitted form is not the same thing as a live backlink. Store those statuses separately.
Watch survival and concentration
A campaign whose links disappear quickly may not justify the infrastructure cost. Anchor or domain concentration can also reveal patterns you would miss in a raw count.
Use monitoring to improve decisions
The best monitoring system changes behavior. Stop repeating sources that fail, invest more in links that survive and send meaningful referral/organic signals, and audit campaigns that become unusually concentrated.
